Rule and Risk Library

The Rule and Risk Library module (R&R) is used to document and categorise both regulatory obligations and operational risks. R&R information is used primarily as the source for obligations and risks by other solutions, such as compliance controls or reviews. Obligations can then be linked to risks and controls for mitigation and compliance purposes. Regulator defined obligations may be optionally linked to source books or multiple industry sectors which can be included in client setup so that subsequent profiling can determine a firm’s regulatory regime.

Evaluator

The Evaluator module is a highly configurable, regulatory compliance and diagnostics tool. It can be used for new regulatory advisory risk assessments, gap analysis, due diligence, annual audits, periodic assessments or thematic reviews. Once configured, it provides a consistent and repeatable assessment method across organisations and jurisdictions on an ongoing or ad-hoc basis. Traffic lighting, dashboards, and charts provide centralised progress and compliance level oversight at management, consultant and team level.

Resource Register

The Resource Register module is used to map resources against classification criteria or rules required by specific regulatory regimes, such as GDPR and SMCR. An intuitive Capture Wizard guides the capture of resource information with no prior knowledge of the classification criteria or regulation required. Real-time visual traffic lighting analysis depicts gaps and risk areas based on the embedded rules, and can be used for initial assessment, gap analysis or as an on-going BAU tool.

Controls

The Controls module is used to manage core compliance monitoring activities for regulated firms. Monitoring schedules are created using control templates, including recurrence frequency and team assignment, with controls posted to user-specific company calendars and dashboards from where they can be easily accessed. Multi-client dashboard and calendar views provide insight into monitoring programs and compliance status with drill-through to controls based on company and user profiles.

Document Repository

The Document Repository module is used to create centralised document libraries for all compliance documents, such as policies, procedures, manuals, and processes. Organised in folders with permissions assigned to employees and teams, documents are restricted to only people who need access to them, while eliminating the risk from outdated, manual based documentation. Annual reviews, updates or expiry dates related to specific documents can be scheduled. Versioning with unalterable audit trails of all document related activities provides management control.

Form Templates

The Form Templates module provides a tool to design, distribute, and manage various types of interactive documents and forms. Customised forms can be created to digitise requests, approvals, declarations, attestations, complaints, or checklists to capture the information required by firms. Workflow is managed using email or dashboard notifications to prompt user collaboration or solicit approvals using preferred authorisation and approval levels. All digitised forms are automatically stored in relevant registers for retrieval or analysis.
